Frequently Asked Questions

Everything you need to know about Calendar Circle.

General

Calendar Circle is a simple app that lets families, housemates, and friend groups share their calendars with each other. Connect your Google or Microsoft 365 calendar, create a circle, and everyone in the group can see each other's upcoming events automatically.

We currently support Google Calendar and Microsoft 365 / Outlook. Apple Calendar support is planned for the future. You can mix and match providers within a circle — for example, one family member on Google and another on Outlook.

Each account connects one primary calendar — either Google Calendar or Microsoft 365 / Outlook. Once connected, your events sync to and from your circle members automatically. Just choose your provider, sign in with OAuth, and you're set.

How Syncing Works

Calendars sync automatically every 15 minutes. When you add or change an event, it will appear for all circle members within the next sync cycle.

Calendar Circle syncs current and future events only — up to 50 days ahead. Past events are not synced. This keeps the sync fast and efficient, even for calendars with hundreds or thousands of events. Both single events and recurring events are supported.

No. Events shared from other circle members appear on your calendar as free / available. They're there for reference only — they won't block your time or affect your availability when others try to schedule meetings with you.

When you delete an event from your calendar, the synced copies on other members' calendars are automatically removed during the next sync cycle. Similarly, if you update an event's time, title, or location, the changes are reflected on everyone's calendars.

Events shared from circle members are prefixed with the person's name in parentheses — for example, (Sarah) Dentist Appointment. This makes it easy to see whose event it is at a glance.

Yes. All event times are stored in UTC internally and converted to each user's local timezone for display. If circle members are in different timezones, events will appear at the correct local time for each person. You can set your timezone in your account settings.

If the same event exists on multiple members' calendars — for example, a shared family dinner that everyone was invited to — Calendar Circle is smart enough to detect duplicates and only sync it once. It uses fuzzy matching on the event title and time to avoid cluttering your calendar with repeated entries.

Privacy & Security

Yes. We use OAuth 2.0 to connect to your calendar — we never see or store your Google or Microsoft password. All access tokens are encrypted at rest using AES-256 encryption. Your calendar data is only shared with members of the circles you choose to join.

Absolutely. You can disconnect your calendar at any time from the Calendars page. When you disconnect, we immediately delete your stored access tokens and stop syncing your events. You can also revoke access from your Google or Microsoft account settings.

We request read and write access to your calendar events. Read access is needed to fetch your events for sharing. Write access is needed to create mirror copies of other members' events on your calendar. We do not access your contacts, emails, or any other data.

Circles & Members

It depends on your plan. The Couple plan supports up to 2 members, the Family plan up to 4 members, and the Extended plan up to 6 members. All plans start with a 21-day free trial. See our pricing page for details.

Currently, each account supports 1 circle across all plans. This keeps things simple — one circle for your family, housemates, or friend group. If you need to change circles, you can leave your current one and join or create a new one.

Yes. Each person in the circle needs a free Calendar Circle account and at least one connected calendar. When you invite someone, they'll receive an email with a link to sign up and join your circle.
